2019 Wedding and Event Planning - Start Now!

While the 2018 wedding and event season is well underway, brides and event planners are turning their eyes to 2019 in order to book in-demand event locations and start planning for their event rental needs.
One major consideration for your 2019 event is the need for a tent. But how do you know what type of tent will work best for a) your event and b) your location?
At Avalon Event Rentals, we will work with you to ensure that you choose the right tent for your wedding, corporate, or special event, as it is critical to the comfort of your guests and the smooth flow of traffic throughout the event site.
Things we will discuss with you and will need to be considered:
  • What kind of surface will the tent be placed? Grass, concrete, asphalt, or wood decking?
    • Based on the surface, we will suggest the proper weighting techniques.
  • How much space do you have? What are the dimensions of the tent site?
    • Are there limitations such as underground utilities, trees, landscaping, irrigation lines etc. that need to be considered?
    • Do we, as supplier, have reasonable truck access for delivery?
  • How many people do you wish to accommodate and in what type of configuration? Are all your guests seated at tables, partial seating, or cocktail party setting?
    • Based on the layout, you will need a certain amount of space per person.
    • We can help determine that space and then design and AutoCAD layout to help you visualize your set up.
  • What other items would you like to have under the tent? Buffet, bar, cake table, dance floor, stage, etc.?
    • As above, space for these items will need to be taken in to overall space requirements.
  • What time of day will your event take place? Will you need lights and/or heaters, or air conditioning?
  • Is there a power source at the site? What are your power requirements going to be?2019 Wedding and Event Planning
  • Are there washroom facilities for your guests?
    • If there is a septic field, will the field accommodate your guests for the evening?
  • Do you wish to enclose any portion of the tent?
    • We have various types of walls, windows, solids etc.
  • Will you need accessory tents for the caterer’s prep station, beverage service station, or to feature a focal point such as an ice sculpture or wedding cake?
